How we get you started
Onboarding is guided by EXO Logics and run together with your administrator. You bring your company details and your unit list; we set up your workspace, check your data with you, and open the apps when your records are ready. We agree the timeline with you; it depends on your portfolio and the state of your data.
1. Your company workspace
What happens: We create your company in EXO Estates and your first administrator account.
- What you do
- Provide your legal name in English and Arabic, trade licence number and expiry, emirate, financial year end, and the administrator's email address.
- What we do
- Create the workspace and issue a temporary password, which your administrator changes at first sign-in.
2. Company settings
What happens: Your administrator records the details your documents and approvals rely on.
- What you do
- Enter your TRN, address, logo, bank accounts, partners and directors, taxes and fees, approval steps, and message templates.
- What we do
- Walk your administrator through each setting and explain what it affects.
3. Import your units
What happens: Your unit list is imported from a spreadsheet: property, building, floors, units, rooms, fitted items and recorded owners.
- What you do
- Fill in our import template (Excel or CSV). Only the unit number, floor and occupancy are required.
- What we do
- Run a check first, which changes nothing, then import everything in one step. Nothing is half-imported.
4. Settle the findings
What happens: Anything the import could not confirm (a missing area, a unit number that disagrees with its floor) becomes a finding on the Data quality list.
- What you do
- Decide each finding and record what was decided.
- What we do
- Explain each finding and what it affects, and compare a corrected spreadsheet with what was imported before anything changes.
5. Complete and activate your properties
What happens: The building board completes floors, units and fittings. A property can go live once it has a building, a floor and units, and every unit has an area.
- What you do
- Confirm areas, layouts and ownership.
- What we do
- Help you copy unit specifications across floors, with a preview before anything is written.
6. Users and roles
What happens: Staff accounts with the right roles, and app accounts for your tenants, owners, contractors and technicians.
- What you do
- Decide who holds which role and approval limit, and whether authenticator codes are required.
- What we do
- Help your administrator create the accounts and link each app account to the right person in your register.
7. Leases and opening position
What happens: Current leases, payment plans and cheques are entered through the lease wizard, and your opening balances are agreed.
- What you do
- Enter or confirm your current leases, and agree opening balances with your accountant.
- What we do
- Support the first entries and check the rent roll with you.
8. Go live
What happens: Sample data is removed and your team starts working in EXO Estates. Your tenants, owners, contractors and technicians get access to their apps.
- What you do
- Tell your tenants, owners and contractors how to sign in.
- What we do
- Confirm the workspace is clear of sample data and stay close through the first weeks.
