Every role, one system

Every role. One set of records.

EXO Estates gives property managers, tenants, owners, contractors and technicians their own experience of the same system. Here is what each one does.

Illustration with sample data: the Back Office overview, with the tenant app and a technician’s work order in front of it.
01 · For property managers and finance teams

Back Office

The desktop workspace where the portfolio is run. Keyboard-first, dense where it needs to be, and always clear about which company and portfolio you are working in.

Who it’s for

Property managers, leasing and finance teams, supervisors and managers.

What it does

  • Today: the rent due, cheques to bank, renewals and requests that need attention this week
  • Properties, buildings, floors and units, with ownership shares and data-quality checks
  • A tenancy wizard for unit, tenant, period and payment plan, with cheque details and scans
  • Charges, receipts, deposits, cheque tracking and bank reconciliation
  • Maintenance requests, work orders, contractors, quotations and purchase orders
  • Users, roles and approval workflows, and “What happened” for the full history of a record

What’s different

Company and portfolio context never disappears: it sits in the frame of every screen and is repeated before anything financial is recorded.

02 · For tenants

Tenant portal and app

One place for a tenant’s home: what is due, what has been paid and what has been reported, on the web or in the Android app.

Who it’s for

Residential and commercial tenants, on the web or the Android app.

What it does

  • Next rent due, the payment schedule and receipts
  • Lease details, documents and renewal information
  • Report a fault with photos and follow its progress
  • Messages from the managing company, in English or Arabic
  • The landlord or managing company named on every screen

What’s different

The managing company leads every screen; EXO Estates is a quiet footer. Tenants always know who they are dealing with.

03 · For property owners

Owner portal and app

Owners see their units, their statements and the decisions waiting on them, without asking the office for a spreadsheet.

Who it’s for

Individual owners and owning companies, including owners who live abroad.

What it does

  • Waiting on you: approvals for spending above the agreed band
  • Statements that name the period and currency and itemise every deduction
  • Units, occupancy and current tenancies
  • Balances held on the owner’s behalf
  • Statements available to download

What’s different

Every statement names its period and currency, and every total can be traced back to its lines. Approvals above an owner’s limit wait for them, not for a phone call.

04 · For contractors and suppliers

Contractor portal and app

Contractors price the office’s own request, line by line, so quotations can be compared like for like. Purchase orders, jobs and standing are in the same place.

Who it’s for

Contractors and suppliers working for one or several of your companies.

What it does

  • Requests to price, with the scope and the reply date
  • Quotations submitted against the office’s request lines
  • Purchase orders and the jobs assigned to the team
  • Progress updates and evidence of completed work
  • The commissioning company shown on every request

What’s different

The commissioning company is shown on every request, and quotations are priced against the office’s own lines, so they are comparable.

05 · For technicians

Technician app

An Android app for work on site: the job, the location and the safety instructions first, with large controls that can be used with one hand.

Who it’s for

In-house technicians and field staff, often outdoors and often one-handed.

What it does

  • Assigned work orders with location, priority and instructions
  • Call the tenant, add photos and update the status from the job
  • Work continues offline; updates are queued and sent when the connection returns
  • Sync state always visible, with an explicit retry

What’s different

Main controls are 56px high, offline and sync states are always visible, and there is an explicit light outdoor mode for working in sunlight.

06 · For prospective tenants

Listings website

Publish available units under your own company’s name. Enquiries arrive in the Back Office, linked to the unit they are about.

Who it’s for

People looking for a home or premises managed by your company.

What it does

  • Listings drawn from the units you manage
  • Your company’s name and identity, with a restrained “Powered by EXO Estates” footer
  • Enquiries recorded in the Back Office, ready to follow up
  • Pages in English and Arabic

What’s different

The listings site carries your company’s name and identity, with only a restrained “Powered by EXO Estates” line. What is published is what is available.

Illustrative history. In EXO Estates each step is recorded by your staff; nothing here moves money.

A tenant’s request becomes a work order with a priority, a technician and photos — and the technician updates it from the phone, even offline.
Owners see what each unit earned and what is waiting for their approval, and download statements with every deduction itemised.

How it works

Built around the work you actually do.

Know who changed what — and when

When an owner or an auditor asks, you have the answer. Every change keeps its before and after value, the person and the time.

  • Before and after values
  • People, roles and times, in order
  • Kept with the record itself

Every receipt in Arabic and English

Receipts, statements and notices come out in both languages under your company’s name. Amounts and references stay readable in Arabic.

  • Full right-to-left Arabic
  • Western digits and AED in both
  • Your legal name on every document

Run several companies without mixing them up

Switch between the companies you manage. Before anything financial is recorded, the screen tells you which company it’s for — and each company’s data is kept apart.

  • The company named before every payment
  • Separate users, permissions and letterheads
  • Records kept apart on the server
Across the platform

The same foundations, everywhere.

Many companies, one sign-in

Run several companies and portfolios on one platform, each with its own records, users, letterhead and documents.

English and Arabic

Every experience works in both languages, with right-to-left layouts and amounts that stay readable.

Roles and permissions

People see and do only what their role allows. A missing permission is explained, not just greyed out.

Approval workflows

Spending and other decisions follow approval bands you configure, including each owner’s own limit.

What happened

A readable history of every change, showing who, what and when, kept with the record.

Workbook import

Bring an existing portfolio in from Excel, with anything that needs attention reported for review.

Documents in your name

Receipts, tax invoices, statements and notices issued with your company’s legal details.

Deadlines in one place

Cheques to bank, renewals and overdue rent are collected for the office, so nothing depends on memory.

Web and Android

The office works in the browser; tenants, owners, contractors and technicians also have Android apps.

See it with your own portfolio.

Ask for a 30-minute walkthrough. Tell us what matters to your business and we’ll reply by email to agree a time — with sample data or an extract of your own, in Arabic or English.
